Terms and Conditions of Use

These Terms and Conditions (“Terms”) govern your use of the web-based medical billing platform (“the Platform”) Dr. Claims, operated and maintained by DigiMedix Technology Solutions Inc., headquartered in Ottawa, Ontario, Canada.

By accessing or using the Platform, you agree to these Terms in full. If you do not agree with any part of these Terms, you must not use the Platform.

 

  1. Eligibility and Purpose

This Platform is intended solely for use by licensed healthcare professionalsclinics, and authorized billing agents in Canada. It is not designed for public or patient use. By registering, you confirm that you are an authorized user affiliated with a legitimate healthcare organization.

 

  1. Free Trial and Commission Billing

Each new user is entitled to a 15-day free trial period from the date of account activation. No charges will apply during this period.

After the trial:

  • commission-based fee will be applied based on the value of paid medical claims, as reported by the applicable provincial remittance advice (e.g., from OHIP, MSP, or other payers).
  • Commission fees will be automatically charged to the credit or debit card on file.
  • All fees are calculated only on paid claims, not submitted or rejected claims.

You are solely responsible for ensuring your payment method remains valid and active. Overdue accounts may result in temporary suspension of access.

 

  1. Plan Options

We offer three subscription plans based on Paid Claims.

  1. a) Self-Serve Plan
  • Users submit and manage their own billing claims.
  • Basic access to reporting, reconciliation, and support tools.
  • No manual intervention or follow-up on rejected claims.
  • Commission rate: 0.20%.
  1. b) Standard Plan
  • Includes all features of Self-Serve Plan.
  • Support team will assist with:
    • Fixing and resubmitting rejected claims
    • Clarifying billing codes and claim rejections via email or phone
  • All claims must still be submitted by the tenant.
  • Commission rate: 1.80%.
  1. c) Full-Service Plan
  • Our team manages end-to-end claim submissions on behalf of the provider or clinic.
  • Includes coding review, rejection handling, non-provincial claims, hospital communication, and detailed reconciliation.
  • Requires secure transmission of visit and patient details.
  • Commission rate: 2.80%.

  1. Cancellation

You may cancel your subscription at any time by submitting a cancellation request via your account dashboard or by contacting our support team.

  • No cancellation fees apply.
  • Upon cancellation, access will be retained until the end of the current billing cycle.
  • You remain responsible for any unpaid commissions on past remittances.

We do not offer pro-rated refunds for unused service periods.

 

  1. Data Security & Liability Disclaimer

We implement industry-standard security measures to safeguard your data. However, no digital system is immune to all risks. Therefore:

  • You are solely responsible for managing your own account access and user credentials.
  • We are not liable for any unauthorized access, data loss, or service interruptions that occur due to:
    • User negligence
    • Misuse or failure to secure login information
    • External data breaches, third-party hosting issues, or internet outages

All claims data, personal health information (PHI), and practice data entered into the Platform is handled in accordance with our Privacy Policy and PIPEDA.

 

  1. User Responsibilities

As a user, you agree to:

  • Enter accurate and complete information to the best of your knowledge.
  • Use the Platform in compliance with applicable Canadian healthcare regulations.
  • Maintain up-to-date payment methods.
  • Review all reports and outputs for accuracy before submitting claims to payers (if applicable).
  • Manage access for staff and ensure internal data security within your clinic.

  • Chat: Manual and/or AI Chat assistance available 24/7.

Standard Plan users may request clarification of rejections, resubmission advice, or service code questions.

We strive to resolve queries in a timely and professional manner but do not guarantee turnaround times, and do not offer 24/7 live support.

 

  1. Service Availability

While we aim for high availability, we do not guarantee uninterrupted access to the Platform. Occasional downtime may occur due to maintenance, upgrades, or unforeseen issues.

We are not liable for business losses or claim delays due to system unavailability.

 

  1. Modifications

We reserve the right to modify these Terms or our pricing structure at any time. You will be notified of major changes in advance through your registered email or the Platform.

Continued use of the Platform after such changes constitutes acceptance of the updated Terms.

 

  1. Governing Law

These Terms are governed by the laws of the Province of Ontario and the applicable laws of Canada.
